Who are we?

At the Iraqi Orphan Foundation (IOF), our mission is to act as facilitators for you so you can support the orphaned children and their families in Iraq. The IOF is a registered charity in in England and Wales (charity number 1115346). Our privacy policy applies to all our activities and is summarised below.

What data we collect about you and why?

We hold specific personal information about you which is provided by you for the purpose of sponsoring orphans and providing donations. This information is also necessary to ensure we abide by the anti-money laundering regulations which is part of the law that governs all charities. For these reasons and in order to facilitate your payments (via bank transfer or card payments) we will need your full name. We require your postal address for the following reasons: To set up standing orders and one-off card payments, to claim Gift Aid, to deliver items to you (such as event brochures or Sadaqa Boxes).

We need your email address as it is our main form of communication with you. We will also email you our events and marketing information about our projects, fundraising activities and upcoming fundraising events. We also request your phone number and will only call you for administrative purposes. 

We also need the information for other purposes:

  • To keep a record of donations you have made and our communications with you.
  • To keep a record of requests and actions taken by you.
  • To claim gift aid on donations (if you have agreed to do so).
  • Administrative reasons include to confirm receipt of donations.
  • To analyse and generate reports of the activities offered by IOF


We will comply with legal requests where disclosure is required or permitted by law (for example to government bodies for tax purposes or law enforcement agencies for the prevention and detection of crime, subject to such bodies providing us with a relevant request in writing).

We may also use your personal information to send emails, text messages and postal mail for direct marketing purposes if we have your consent or are otherwise permitted to do so. This allows us to send you occasional marketing information about our projects, fundraising activities and upcoming fundraising events that we believe will be of interest to you. You can update your preferences at any time on how you would like us to contact you. 

How do we collect your data?

We will collect your data with your permission when you complete our secure online form for sponsoring orphans, and via communications with our team using email, phone, or text messaging. 

When do we contact you?

We will use the preferences that you provide us when you complete our forms to communicate with you in a way that suits you. You will receive necessary information such as the orphan you sponsor, any communication specific to you from your orphan, any receipts that you request for your donations, and any changes in the conditions that may occur to your sponsored orphan. Should you wish to change the way we communicate with, you can inform us at any time and by any means that is suitable for you.

When you sponsor an orphan through regular donations, we will take that as consent to communicate with you in matters relating to your donations and orphan's progress, and for a period of one year following your termination of sponsorship. We will also continue to contact you if you have indicated that you wish for us to keep you updated with our activities even after you have terminated your sponsorship.

How long we will keep your personal data?

We will only keep your information if necessary for our ongoing activities, or if you permit us to do so with the intention of keeping you informed of our activities. We will keep a record of donations for the purpose of Gift Aid in accordance with HMRC rules. If you wish for us to remove all your details once you are no longer supporting the IOF and after 12 months of terminating your regular sponsorship, please get in touch with us and we will be happy to act on your request. 

Will we share you data?

No, only the staff at IOF will use your data for the purpose of carrying out their job in getting your donations to the orphans you support. Your data will be kept securely on our system and will not be shared with any third parties. We do not keep any financial records of you. We will only share your name and address with HMRC for the purpose of collecting Gift Aid after you give your consent for us to do so. Our card payments will be processed using secure payment gateways which will ask you for your details to process your payments separately. 

We may need to make changes to our privacy policy as required updates in data laws.
